PadPulse Messaging, Rules, and Automation
Overview
The Messaging module centralizes communication with members while providing automation tools that reduce repetitive work. You can manage conversations, create reusable message templates, build automated messaging rules, and configure workflows that trigger messages based on member activity or property events.
These tools help maintain consistent communication throughout the member lifecycle while saving time on routine interactions.
Messaging Inbox
The Messaging Inbox allows you to manage conversations with members from a single location.
From the inbox, you can:
- View active conversations
- Send and receive messages
- Search conversations
- Review message history
- Continue conversations with members
Messages can also serve as the starting point for other workflows, such as creating maintenance tasks.
Create Message Templates
Templates allow you to save frequently used messages for reuse.
To create a template:
- Navigate to Templates.
- Select Create Template.
- Enter a template name.
- Write the message content.
- Save the template.
Templates can then be inserted into conversations instead of typing the same message repeatedly.
Common examples include:
- Welcome messages
- Move-in instructions
- Maintenance follow-ups
- Rent reminders
- House rule reminders
Create Automation Rules
Automation Rules allow PadPulse to send messages automatically when specific conditions are met.
To create a rule:
- Navigate to Rules & Automation.
- Select Create Rule.
- Choose the event that will trigger the automation.
- Select the message template.
- Configure any additional conditions.
- Save and enable the rule.
Once enabled, the rule runs automatically whenever the trigger conditions are met.
Configure Rule Triggers
Rules can be configured around common events in the member lifecycle.
Examples include:
- New member joins
- Upcoming move-in
- Upcoming move-out
- Scheduled reminders
- Maintenance-related events
- Other supported platform events
Each trigger can automatically send the appropriate message without manual intervention.
Customize Automated Messages
Automation rules use message templates, allowing you to standardize communication while still updating templates as needed.
If a template is modified, future automated messages will use the updated version.
This makes it easy to maintain consistent communication across all properties.
Manage Automation Rules
The Rules dashboard displays all existing automations.
From this page, you can:
- View active rules
- Edit automation settings
- Disable rules temporarily
- Delete rules that are no longer needed
Changes take effect after the rule is saved.
Best Practices
To keep automations organized:
- Use clear template names.
- Create separate templates for different scenarios.
- Review automated messages periodically to ensure they remain accurate.
- Test new automation rules before relying on them for important communications.
Important Notes
- Message templates help standardize communication with members.
- Automation rules send messages automatically when configured trigger events occur.
- Rules can be edited, disabled, or deleted at any time.
- Updating a message template automatically updates future automated messages that use that template.
- Messaging automation helps reduce repetitive manual communication while maintaining consistent member interactions.
