Supplies Overview: Managing Catalog & Recurring Orders
Overview
The Supplies feature helps you manage frequently purchased items for your properties, such as HVAC filters, toilet paper, paper towels, and other recurring supplies. You can build a product catalog, create supply requests, schedule recurring orders, and track purchases from a centralized dashboard.\
Configure Supply Settings
Before creating supply requests, configure your default settings.
Navigate to Supplies > Settings to:
- View your properties.
- Assign a default team member for each property.
The default assignee will automatically receive recurring supply requests based on your configured schedules.
Build Your Supply Catalog
The Catalog stores the items you regularly purchase for your properties.
To add an item:
- Navigate to Catalog.
- Select Add Item.
- Enter the product details.
- Save the item.
For each catalog item, you can:
- Edit product information.
- Delete the item.
- Mark it as a Frequent Item for quicker access.
- Open the product's purchase link (such as Amazon).
Frequent items appear at the top of the catalog for easy access.
Create a Supply Request
You can create a supply request directly from the catalog.
To create a request:
- Select the item you want to order.
- Choose the property.
- (Optional) Select the member associated with the property.
- Assign the request to a team member.
- Enter the quantity.
- Review the purchase link.
- Add any additional notes.
- Save the request.
You can also create a request for a product that is not yet in your catalog and save it to the catalog during the process.
Schedule Recurring Orders
Recurring orders help automate routine supply purchases.
To create a recurring schedule:
- Navigate to Recurring.
- Select a catalog item.
- Choose the property.
- Select how often the item should be ordered.
- Choose the next due date.
- Save the schedule.
PadPulse automatically creates reminders based on the selected schedule and assigns the request to the property's default team member.
Manage Supply Orders
The Orders section displays all supply requests and purchase orders.
From this page, you can:
- View all supply requests.
- Open the purchase link.
- Edit order details.
- Reassign the request.
- Mark an item as ordered.
Record Order Information
After placing an order, you can record additional details including:
- Shipping destination
- Order date
- Order number
- Order link
- Tracking link (optional)
If a tracking link is added, a package icon appears next to the order, allowing you to quickly open the shipment tracking page.
Important Notes
- The Supply Catalog stores frequently purchased items for future use.
- Products can be marked as Frequent Items for quicker access.
- New products can be added to the catalog while creating a supply request.
- Recurring orders automatically create reminders and assign requests to the property's default team member.
- Purchase links can open directly to the retailer, such as Amazon.
- Tracking information can be added after an order has been placed.
